Q100738: Using the OrgAdmin Dashboard for the first time

SUMMARY

The Organization Admin (OrgAdmin) Dashboard is a helpful browser-based portal for organising and controlling Team Login licenses. There are many powerful, customisable set-ups that you can create with the dashboard, and each set-up will be unique to your Organization’s needs. However, the scope of this article is to help you get your Organization up and running with the least amount of customisation necessary.

This article will walk you through accessing the OrgAdmin Dashboard, checking what licenses you have available, and adding your first user to your Organization. This is a basic setup that will enable you to get your artists up and running. 

Please note that you must be the admin of your Organization to carry out the instructions in this article.

Accessing the OrgAdmin Dashboard for the first time

After purchasing a Team license, you will now need to access your OrgAdmin Dashboard in order to manage your Organization. 

To access the OrgAdmin Dashboard, you may either: 

  • Select the following link: Organization Admin
  • Navigate to your account on the Foundry website, and go to Login Licenses. Under the Team License tab, if you are an admin, you will see the link to your OrgAdmin Dashboard.

 

 


 

 

Note: You may wish to save or bookmark this link, to keep easy access to your OrgAdmin Dashboard.

Once you have followed the link, you will be prompted to log into your Foundry Account. This Foundry Account needs to be the one that purchased the Team login. This account will be the initial admin for the Organization - don’t worry, you can change this later!

Once you have logged in, you will now see your Dashboard.

Note: If your email account is connected to multiple Organizations, you may be prompted to choose what Organization you want to access. The image above shows what this prompt will look like.
 

OrgAdmin Dashboard: Quick Look

Now you have accessed your Organization, you will be able to see your OrgAdmin Dashboard.

You will see three panels: Groups, Users, and Invitations.

You will also see a more extensive menu above the panels: Dashboard; Organization; Entitlements; Licenses; Groups; Users; Invitations. We do not recommend changing anything on the Entitlements or Groups panels until you feel comfortable with how the OrgAdmin Dashboard works.

In this article we will be working with the Dashboard, License, Users and Invitations panels. 

Checking your available licenses

Firstly, navigate to the Licenses page, by clicking on the Licenses tab on the menu bar. Here you can see all the licenses that your organization has access to. Your licenses are automatically grouped into license pools. 

 

 

 


Understanding your licenses

We recommend taking some time to understand exactly what licenses you have available, and what they entitle your organisation members to use. As a quick reference, please note the following:

  • Licenses that end with ‘_i’ (eg. nuke_i) indicate that the license is used with interactive (GUI) versions of the software
     
  • Licenses that end with ‘_r’ (eg. nuke_r) indicate the license is used with headless (non-GUI) rendering
     

Some Nuke products require multiple licenses to use. Notably, NukeX and Nuke Studio both require multiple types of Nuke licenses to be checked out at the same time. More information about this can be found here:

Understanding license pools

Licenses are grouped into pools by both purchase and by license type. For example, if you purchase 10 Nuke X and 10 Mari seats this week, and then purchase a following 5 Mari seats next week, you will see four license pools in your Licenses page:

nuke_i 10

nukex_i 10

mari_i 10

mari_i 5

Note how the Mari pools do not stack, even though they are the same product. That is because license pools take into account both the product type, and when you purchased the product. 

Note: License seats are the number of users who can use the software at once. In the example above, you can run 10 NukeX and 15 Mari at the same time.


Managing your license view

By default you can see 10 license pools. If your Organization has many license pools, you can navigate to the bottom of the page and select to see more than 10 license pools per page. This will allow you to get a comprehensive view of your Organization’s licenses.

Note: You cannot hide licenses that have lapsed maintenance, or have been cancelled, so please make sure you double-check the expiry dates of your licenses if it looks like you have more licenses that you actually have access to, as you may be counting your unusable licenses as well.

Now you have understood what licenses your Organization has access to, it’s time to add your first artist to your Organization.

 

Adding a user to your Organization
  1. Before you add a user to your Organization, please ensure you have the user’s email address and their name. 
     
  2. Now, navigate to your Invitations panel.

  3. Select Invite Members - the yellow button at the bottom right. 
      
  4. This will bring you to a new page, where you will now get the option to choose what Organization group you want to invite the user to. As you will only have one group currently, you can select Proceed without changing anything. Please ensure you add new members to the ‘Employees’ group when creating multiple groups in future.   1. Selecting Proceed will bring you to the Invitations Draft page. Select Add in the bottom right. You will now see an Add/Edit Invitation window appear. Fill out the textboxes with your user’s name and email. The Personal Message field is optional.

 

 


 

 

  1. Once you select Save, the window will disappear and the invitation will appear on the screen. Please note that we are still looking at the invitation drafts, so in order to finalise the process, you will need to select Approve and Send in the bottom right.
      
  2. Once the user has accepted the invitation, they will be added to the Organization, and they will have access to the licenses.

  • Check what licenses you have available
  • Add users to your Organization
