You can manage which users are able to access your Team licenses by using the Organization Admin Dashboard. There are currently two ways to reserve licenses for users: 

  1. Creating entitlement pools and user groups.
    • This method is good if you need a larger group of users to access a small pool of licenses.
  2. Individually reserving a license for a user.
    • This method is good if you need individual users to have access to a specific license at all times. 

Reserving for a group of users:

To reserve licenses for a group of users please follow the instructions below:

  1. Open the Organization Admin Dashboard:
    https://id.foundry.com/orgadmin/ 
     
  2. Select Entitlements from the top navigation bar.
     
  3. Click Create.
     
  4. Give your pool a Title and Description. Please ensure that a description is added to the entitlement pool otherwise the licenses will fail.

     
  5. Select Create to finish making the entitlement pool for your reserved licenses.
     
  6. Once the entitlement pool is created, split the licenses you would like to be assigned into the newly created pool. Detailed steps on how to split licenses can be found on the following page: How To Split a License Between Multiple Pools

     
  7. Once the licenses have been split, add the split licenses into the new entitlement pool. Full steps on how to move licenses between pools can be found here: Moving License Between Pools

     
  8. Next create a group for users you would like to have access to the reserved licenses. Further details on how to create a new group can be found here: Creating Groups to Control Users’ Access to Licenses



    NOTE: Please ensure all users are also in the default Employees group, users who are not in the Employees group will not be able to access a license.
     
  9. Now that the group has been created, click on the Allow button next to the reserved license entitlement pool to give the group access to the pool.

     
  10. Next click the Add Member to Group button next to any users you would like to have access to this license pool.


Reserving for individual users:
To reserve licenses for a single user please follow the instructions below:

  1. Select the Licenses tab from the navigation bar.
     
  2. Select Details next to the license you would like to reserve.


     
  3. Click on the Reserve Seats option.


     
  4. Select Reserve Seat on any user you would like to reserve a license for.



     

Licenses reserved using this method are not available to other users even when they aren’t in use. 

Due to a bug with the Organization Dashboard, while a license is being used it may display the license as being reserved when it is only in use. As such we recommend reserving and managing licenses with this method when no users are accessing the licenses.
